Job Purpose:
The role involves the daily administrative management of assigned vendors, encompassing warranty maintenance, quotation management, returns, and purchase order responsibilities. This position requires close collaboration with technicians, the Team Leader of Operations, the Team Leader of Logistics, and Program Management to ensure seamless operations and effective vendor relationships.
Accountabilities:
Provides telephone and e-mail support to OEM ( Original Equipment Manufacturer) shipping and credit returns
Follows procedures and guidelines to provide support to OEM’s and internal organization in a timely manner.
Always provides the highest level of service to the internal organization and external vendors
Creates follow-ups with vendors to provide the best customer experience
Identifies issues that need escalation and passes on to the appropriate person
Follows department guidelines for methods of research and accuracy
Maintains transactions in appropriate systems
Inspects and approves incoming materials by confirming specifications and rejecting and returning unacceptable materials.
Documents inspection results by completing reports and logs and inputs data into the shop floor system.
Maintains safe and healthy work environment by following standards and procedures and complying with legal regulations.
Updates job knowledge by participating in educational opportunities and reading necessary instructions.
Accomplishes quality and organization mission by completing related results as needed.
Maintains cleanliness and organization of work area
Completes assigned tasks regarding reports and paperwork in a timely and accurate manner
Completes other duties as assigned
Knowledge Skills and Experience
Able to communicate effectively in both English and Dutch, written and spoken.
Strong written and verbal communication skills.
Confident with basic computer skills, particularly Excel.
High attention to detail, ensuring accuracy in tasks.
Analytical thinker with problem-solving abilities.
Skilled in documentation and creating clear, professional reports.
Collaborative and a great team player who values diverse perspectives.
Decisive and comfortable seeking clarification when needed.
Resilient and able to work constructively under pressure and deadlines.
Possesses excellent interpersonal skills, thriving in multicultural environments
